How REPs handles disputes between clients and pros

When you hire a personal trainer or fitness coach, you enter a relationship built on trust, clear communication, and mutual commitment. However, training arrangements can occasionally break down due to financial misunderstandings, mismatched expectations, or breaches of our professional standards. At REPs, we do not leave clients or professionals to navigate these difficulties alone. We maintain a structured, objective process to address disputes, protect both parties, and uphold the integrity of the fitness sector.

Our approach to early mediation

Before moving to formal disciplinary investigations, we always encourage informal mediation. Our role is to act as an impartial referee, reviewing the initial agreements, communications, and terms of service established between the client and the professional. We ask both parties to submit their evidence, such as text messages, emails, and signed training contracts. By focusing on objective documentation rather than emotion, we can resolve the vast majority of disputes at this early stage, often helping to clarify simple misunderstandings regarding booking policies, cancellations, or refund terms.

The core pillars of our dispute resolution

  • We require a written timeline of events from both the client and the fitness professional to establish facts objectively.
  • We review the original service agreement to ensure both parties adhered to the agreed cancellation and refund policies.
  • We evaluate whether the trainer's conduct aligned with our national occupational standards and professional register guidelines.
  • We offer formal mediation sessions led by our standards team to find a fair, mutually acceptable resolution.
  • We escalate unresolved breaches of conduct to our independent disciplinary panel for a formal review and ruling.

Formal investigations and disciplinary action

When mediation fails or if a complaint involves serious professional misconduct, we escalate the matter to a formal review. This process is handled by our independent disciplinary panel, which evaluates the case against the REPs Code of Conduct. Misconduct can range from serious safety negligence during exercise instruction to financial dishonesty or inappropriate personal behaviour. During an active investigation, the professional’s registry status may be temporarily suspended to protect the public. Our priority during these investigations is absolute fairness, ensuring both parties have ample opportunity to present their case before any sanctions are imposed.

Outcomes, sanctions, and professional accountability

The decisions of our disciplinary panel are final and designed to maintain public confidence in registered fitness professionals. Depending on the severity of the breach, outcomes can range from mandatory retraining and mentoring to permanent removal from the REPs register. If a professional is removed from our register, we notify relevant industry bodies to prevent them from practising under our credentials. This strict enforcement ensures that the REPs badge remains a trusted mark of quality, reassurance, and safety for clients searching for verified fitness professionals across the UK.

"Maintaining public trust in fitness professionals requires a transparent, rigorous framework that holds both trainers and clients accountable to clear professional boundaries."
