While the vast majority of exercise professionals registered with REPs maintain exceptionally high standards of practice and client care, there are instances where a trainer's conduct falls below acceptable professional boundaries. Knowing the difference between an intense training session and genuine professional misconduct is crucial for protecting yourself and other gym users. At REPs, we take every report from the public seriously, investigating departures from our standards with rigorous objectivity to ensure the integrity of the fitness industry remains intact across the country. Identifying a breach of professional standards
It is essential to distinguish between a challenging exercise session and a genuine breach of professional conduct. A trainer pushing your physical limits within certified boundaries is normal practice; however, behaviour that compromises your physical safety, crosses emotional boundaries, or constitutes harassment is a serious breach of trust. This includes giving clinical nutrition or medical advice without appropriate qualifications, demonstrating unsolicited physical contact during exercise execution, or using discriminatory language under the guise of motivation. If a professional's actions make you feel unsafe, degraded, or physically exposed to injury, the threshold for submitting a formal complaint has been met. It is important to act promptly when these standards are violated so that evidence remains fresh and actionable.
The key evidence needed to support your report
- Comprehensive written communications, including emails, text messages, or direct social media interactions that document the inappropriate behaviour, harassment, or unsafe advice.
- A detailed, chronological log of the incidents, specifying the exact dates, times, gym locations, and exercises being performed when the professional boundary was crossed.
- Any signed service contracts, initial health screening questionnaires, or written training programmes that demonstrate a clear deviation from safe, standard industry practices.
- The names and contact information of any eyewitnesses, such as gym staff or fellow gym members, who are willing to discuss the incident with our compliance team.
- Copies of any previous written correspondence where you explicitly asked the fitness professional to halt the unwanted behaviour or modify their hazardous training approach.
Our process for investigating serious complaints
Once a formal complaint is submitted through our secure channel, our compliance team initiates an immediate assessment to verify if the allegations constitute a prima facie breach of our code of practice. If the complaint meets this threshold, we formally notify the registered professional, providing them with the details of the allegation and demanding a written response within a strictly monitored timeframe. This process involves examining the submitted documentation, interviewing relevant witnesses, and consulting independent educational or clinical specialists to evaluate whether the trainer's actions deviated from safe practice.
Resolutions and disciplinary outcomes
Upon completing the investigation, our independent standards panel reviews the gathered evidence to determine the appropriate disciplinary measures. If we uphold the complaint, the outcomes range from issuing a formal reprimand or ordering mandatory retraining under supervision to suspending or permanently revoking the trainer's registration details from our public database. We communicate the final decision and the underlying civil rationale clearly to both you and the professional. By reporting substandard behaviour, you assist us in upholding the rigorous standards of our registry, protecting future clients from harm, and maintaining public confidence in the integrity of fitness professionals who operate across the sector.
